0245-0004 | Certification Training Program

Description:  Certification training that is facilitated by OCA. Certification is required for anyone who wants to be a forensic interviewer. Records include course materials and rosters.

Retention:  Sign in sheets, copies of certifications, and other records documenting an attendee's certification: 50 years after completion of training; all other records: 7 years.

0245-0003 | Child Death Call Files/Reports

Description:  Records created following the death of a child within a family with DFCS history.

Retention:  7 years after case closure.

0245-0005 | DFCS County Assessments

Description:  OCA visits county DFCS offices to review a random set of open cases in order to assess the policies and practices of the case workers and office leadership. Records and notes are retained to be used in reports outlining recommendations and evaluations to relevant parties. These files act as background information supplementing the review report.

Retention:  5 years

0245-0002 | Foster Parent Grievance Mediation Files

Description:  Records documenting the mediation process between foster parents and DFCS. Most mediation cases occur when foster parents disagree with DFCS's decision to close their home as foster home. The mediator works with the foster parents and DFCS to discuss options, such as reopening the home, reopen an investigation into the home, or keep it closed.

Retention:  7 years after case closure.

0245-0001 | OCA Investigative Report File

Description:  Investigative file developed as a result of inquiries or complaints received by or referred to OCA; File may include initial intake or complaint form, investigative notes by OCA, and a duplicate copy of DFCS report regarding the child's case.

Retention:  7 years after case closure.

0245-0006 | Statewide Model Protocol; Minimum Standards Protocol; Local Protocols

Description:  Pursuant to O.C.G.A. ยง 19-15-2, each county is required to establish a Protocol for the investigation and prosecution of alleged cases of child abuse. As of July 1, 2016, Local Protocol Committees are statutorily required to submit copies of these protocols to OCA. OCA also maintains a Statewide Model Protocol and a Minimum Standards Protocol outlining current law, policy, and best practice for reference by the committees.

Retention:  3 years after superseded, respectively
